Membership Terms and Conditions

Unless attending a free trial class, a monthly membership subscription or a pre-paid training pass is required to train at Gracie Barra Tunbridge Wells.


1.0 Monthly Memberships

  1. Membership fees are collected automatically on the 1st working day of each month via GoCardless.

  2. Members joining mid-month will be charged a pro-rata fee upon joining. Regular subscription payments will start from the beginning of the next calendar month.

  3. Memberships auto-renew unless cancelled with 30 days’ notice.

  4. A 1 calendar month notice is required to cancel.
    E.g., Cancel on 2nd January → Final payment is 1st February → Membership ends 28th/29th February.

  5. A £10 administration fee may apply for failed payments.

  6. Payments overdue by 45+ days may be passed to a debt recovery agency.

  7. Membership may be terminated without notice for breaching the Code of Conduct.

  8. Membership cannot be frozen unless agreed in writing.

  9. If the member is a minor, the parent/guardian agrees to these terms and is responsible for payments.


2.0 Freezing a Monthly Membership Subscription

  • Freezes are only available for monthly members — not valid for pre-paid passes/class packs.

  • Freeze requests will only be accepted in the event of injury, and medical documentation is required.

Special Exemptions

  • Pregnancy: Membership may be frozen for up to 12 months (advance agreement required).

  • Injury during training/competition: Membership will be frozen until return. Medical proof may be requested.

Freeze requests must be submitted in writing to info@gbtunbridgewells.co.uk and are assessed individually.

Note: Holidays or travel are not valid reasons for freeze requests.


3.0 Training Waiver

By purchasing a membership, all members or their parent/guardians agree to the following:

“As a participating adult or parent/guardian of a participating child, I acknowledge that Brazilian Jiu Jitsu is a physical activity that involves contact. Gracie Barra Tunbridge Wells, its staff, and students are not liable for any injuries resulting from training.”


4.0 WhatsApp Group

  • Members and parents will be added to the official WhatsApp group for communication purposes.

  • You can opt out by informing a team member or leaving the group.


5.0 Changes to Membership Pricing & Timetable

  1. Gracie Barra Tunbridge Wells may review and change membership fees and class schedules when necessary.

  2. Any fee increases will be communicated 30+ days in advance to allow for cancellation if needed.

  3. Pre-paid plans (e.g., annual or block passes) are not affected until expiration.

  4. Founder members are exempt from price changes.


6.0 The Gracie Barra Uniform

Uniform is mandatory and promotes equality within the academy.

  • Gi Classes: GB Kimono + GB Rashguard

  • NoGi Classes: GB Rashguard + NoGi Shorts


7.0 Code of Conduct

To maintain a safe and respectful environment, all members, parents, and visitors are expected to:

  1. Refrain from using foul or offensive language.

  2. Avoid intimidating or offensive behavior.

  3. Treat everyone with respect and non-discrimination.

  4. Respect the academy and its facilities.

  5. No shoes on the mats.

  6. Follow the Training and Hygiene Commitment.

  7. Parents must not coach from the mat area unless invited by staff.

  8. Parents should support the teachings of instructors.


8.0 Temporary Academy Closure (Public Holidays)

  1. The academy may close or reduce services on public holidays.

  2. No partial refunds will be issued for closures.

  3. A 7-day Christmas shutdown may occur, with limited services from 22nd Dec to 4th Jan.


9.0 Complaints & Feedback

  1. Complaints must be submitted in writing to info@gbtunbridgewells.co.uk. All complaints are treated confidentially and seriously.

  2. If communication is deemed abusive or excessive, Gracie Barra Tunbridge Wells reserves the right to cease communication or terminate membership.


This document is subject to review at least once annually or following any significant event.
